One of Sydney's top 5 Universities are looking for a Data Officer to join their team on a 6 month contract basis.

The Master Data Officer role delivers excellent customer service and specialist support, working collaboratively with team members to consistently deliver high-quality service. As such, this role requires a deep understanding of customer needs, and draws upon previous experience and specialist knowledge to effectively resolve enquiries in a prompt and professional way.

The role is responsible for the efficient delivery of a range of supplier master data creation and maintenance activities within a shared services environment. The role supports the Master Data team within the Accounting and Transaction Support  Team in the Finance functional area.

Key responsibilities of a Supplier Master Data Officer in Finance may include:
  • Data Entry and Validation: Accurately entering supplier information into the financial systems, ensuring that all data is complete and follows established data quality standards. Validating and verifying the accuracy of supplier details.
  • Documentation: Maintaining proper documentation for each supplier, including contracts, agreements, and other relevant documents. Ensuring compliance with internal policies and external regulations.
  • Updates and Changes: Managing updates and changes to supplier information, such as changes in contact details, banking information, or any other relevant details. Ensuring that changes are properly authorised and documented.
  • Vendor Compliance: Ensuring that supplier data complies with regulatory requirements and internal policies. This includes verifying tax identification numbers, compliance with anti-money laundering regulations, and other relevant compliance checks.
  • Communication: Collaborating with internal stakeholders, such as procurement, accounts payable, and other departments, to gather and update supplier information. Communicating with suppliers to collect necessary data and resolve any discrepancies.
  • Problem Resolution: Investigating and resolving any issues or discrepancies related to supplier master data. Collaborating with relevant teams to address and correct any errors.
  • Reporting: Generating reports and providing insights related to supplier master data. This may include analysing trends, identifying areas for improvement, and ensuring data accuracy for reporting purposes.
  • System Maintenance: Collaborating with IT and other relevant teams to ensure the proper functioning of the financial systems and tools used for supplier master data management. Participating in system upgrades and enhancements.
  • Training and Support: Providing training and support to other team members or stakeholders on the proper procedures for managing supplier master data.
  • Continuous Improvement: Identifying opportunities for process improvement and efficiency in managing supplier master data. Recommending and implementing best practices.
Overall, the Supplier Master Data Officer in Finance is responsible for maintaining the integrity of supplier information, ensuring compliance, and supporting the efficient functioning of financial processes within the organisation.

Experience:
  • 2- 3 years experience
  • Proficient in data entry and data maintenance within Enterprise Resource Planning (ERP) systems or other relevant databases.
  • Ability to ensure data accuracy, completeness, and consistency through regular audits and quality assurance processes.
  • Strong attention to detail is crucial for accurately capturing and maintaining supplier information, documentation, and compliance records.
  • Effective communication skills are essential for interacting with suppliers and internal stakeholders, as well as providing training on data entry processes.
