Our client, a leading NSW Government Department are looking for a Contracts Officer to join their team on a 4 -month contract with possibility of extension.

Purpose of the role:

The role supports the manager in delivering high-quality reporting associated with the effective development and delivery of complex major infrastructure projects.

Key accountabilities:

  • Provide support in the management of financial information and control systems, analysis of works program information and reporting.
  • Undertake preparation of contract and technical documentation, including work orders, variations and the processing of payments for professional services contracts.
  • Contribute to the timely provision of critical business management information by verifying and entering of data inputs on project expenditure and outputs, forecasts, milestones and accomplishments.
  • Utilise procurement systems to support the administration of the branch, manage accounts and payments, monitor and audit equipment and supplies and manage bookings to procure specialist equipment.
  • Provide high-quality clerical and administrative support to the Regional Project Office team, through the preparation of correspondence including meeting minutes and memoranda, and maintenance of document and files to support the efficient operation of the section.
  • Manage office records system by ensuring that all documentation is systematically recorded and filed for retrieval when required and administer controlled documents.
  • Provide prompt and efficient services and respond promptly to customer enquiries and complaints to ensure efficient day to day administrative operations and provide quality customer service to the Branch clients.
  • Organise meetings, book meeting venues, catering, sending invitations, preparation of agendas and meeting documentation, record and distribute minutes and follow up on action items.
Essential Requirements:
  • Demonstrated experience and/or ability to provide a high-level administrative and project support services to project teams.
  • Experience in the use of business management systems.
  • Demonstrated ability to undertake procurement and financial support activities, such as the ordering of goods and services, payment of invoices
  • Ability to collate and analyse information to produce high-level financial reports for the administration of project budgets.
